This is SUCH a big question if you really are a 'field trip co-ordinator'!
If you are responsible for others, there is health insurance for any age and papers for 'in loco parentis' decisions for those under age, just for starters. And rules vary by country...Europe is a big place with variations in what is required.
There is info available here from those who have led such trips, me included with schooltrips, but if you are planning a trip of this duration with more than immediate friends or family, there are much better sources, like professional travel planners, for starters.

So far, we are staying a week on the southern coast of Spain and one in the country north of London.
I'm waiting to hear back from two establishments for five days in Rome and three in Florence.
We hope to add on a few days in London and a few in Paris.

LOL! Fortunately, this trip is just for me and my husband and 18 year old son.
I've coordinated two trips for a group of teens. We've done five days in Washington, DC and five in Kentucky and Ohio. At one point, we considered taking this group to Europe, but it wasn't financially feasible for most of them.
