Hello ira,
I am after software that has maps, is able to calculate distances to travel and how long it will take, costs etc
we want to go off the main roads

Try viamichelin.com, which will give you directions, distances, and estimated fuel and toll costs.

But, I'm not sure there is any sort of self-contained software, that will compile everything (car expenses, hotels, meals, etc.) in one place.

I really like Microsoft Autoroute. It's better/more detailed for some countries/areas than others.

Except for fuel, it doesn't calculate costs.

I like having the software on my PC so I can revise and save trips. Most tourist sights, many restaurants and hotels, are already on the maps, but you can annotate additional spots yourself.

I also have the US version, Microsoft Streets.

I cannot imagine planning a trip without these programs.

Sounds basic but for when you're actually in a town I find Google maps to be really helpful for plotting things.

For instance, this is a map I made earlier today of the best places in Rome to get pizza:

Microsoft Autoroute uses the same mapping and "points of interest", "restaurants", etc. as Google.

I have great fun highlighting places already included and adding those I find in tour guides and on web forums before leaving home.

We go to Paris often, so I add for every trip.

Just before leaving, I print "neighborhood" maps on one side of the page and the Paris bus routes map for the same area on the other.
