Can't speak to the wiring part, but this definitely sounds like part of the cancellation policy.

Kudos to myer for picking up on the catch-22 of "do what you think is right" bit, especially since you're dealing not just with your boss but with his entire family. (Big, big red flag there!) In your shoes, I'd be sure to get the hotel to give me the full terms of their cancellation policy, and also the payment methods they accept, and then put these in a memo for your boss along with a request for written authorization of payment in the event he and his family accept the terms of the policy.

Good luck!

P.S. Bosses who are seemingly cavalier about cancellation policies generally have very nasty 'cancellation' policies where their employees are concerned. Forewarned is forearmed.

Ok-little update on this situation. I called the hotel-spoke to the woman in charge, she told me she put our name in the computer and she trusts we will be coming (by we i mean my boss and his family). she said-do not do bank deposit, it is based on trust-just call her couple days before if we are not coming. the only thing is-she refused to give me confirmations, she said-just my name and her name is enough. so the question is-if she trusts us enough to book without payment-should I (MY BOSS) trust her enough to go there WITHOUT reservation confirmation?

I heard about hotels that don't give a formal confirmation and just your name is good enough for them to reserve a room. Probably it'll be fine. On the other hand, some people who had formal confirmations have said that hotels have denied them their reservations.
